New York City Nonprofit Accounting Services & Outsourced CFO
Nonprofit Accounting Built for the Capital Region’s Most Complex Organizations
New York City is home to one of the country’s largest and most diverse nonprofit communities. Organizations across the five boroughs provide human services, advance the arts, fund research, manage charitable assets, support communities, and deliver programs with national and international reach.
Nonprofits in New York face several specific obstacles. From managing state-specific compliance requirements, to multi-entity fund structures, restricted endowments, and more, there’s a lot to keep pace with that requires financial expertise.
JFW Accounting Services provides nonprofit accounting services and outsourced CFO leadership to New York City organizations that need more than a generalist bookkeeper. We work remotely and nationally, which means NYC organizations access experienced nonprofit financial leadership without the overhead of an in-house C-suite hire.

New York State Compliance and Audit Mandates
New York imposes some of the most demanding compliance requirements on nonprofits of any state in the country. The NYC Attorney General’s Charities Bureau oversees charitable organizations registered in New York and enforces annual filing obligations that go beyond what the IRS requires.
Most registered charities must file a CHAR500 annually. Depending on gross revenue, that filing may require audited financial statements, reviewed financial statements, or both. The thresholds are lower than many organizations expect:
Audit Report Requirement
Organizations with more than $1 million generally must submit financial statements accompanied by an independent CPA’s audit report.
Review Report Requirement
Organizations with at least $250,000 but not more than $1 million generally must submit financial statements accompanied by an independent CPA’s review report.
Unaudited Report Requirement
Organizations with no more than $250,000 generally submit an unaudited financial report.
Missing these deadlines, filing incomplete statements, or submitting financials that do not meet the Charities Bureau’s standards can trigger penalties, registration suspension, and reputational damage. For organizations that solicit donations from New York residents, a lapsed registration creates immediate fundraising problems.
Audit support services provided by JFW Accounting Services extend through the full audit cycle. Pre-audit preparation includes organizing supporting documentation, reconciling all balance sheet accounts, and coordinating with the external auditor before fieldwork begins. During the audit, our team responds to auditor requests and provides supporting schedules without pulling your internal staff away from their regular work. After the audit, we follow up on any findings and implement corrective action where needed.
We use cutting edge technology to
automate your critical core financial processes.
LEARN ABOUT THE SAGE INTACCT PLATFORMMulti-Entity Family Foundations and Donor-Advised Funds
New York’s philanthropic landscape includes some of the most structurally complex organizations in the country. Large family foundations may operate through multiple entities, each with its own investment policy, grantmaking focus, and reporting obligations.
Cultural institutions often hold endowments alongside operating reserves and capital funds, each governed by different spending rules. International NGOs manage cross-currency transactions and consolidated financial statements spanning multiple countries.
Standard nonprofit bookkeeping software cannot manage these structures cleanly. Entry-level platforms force workarounds that create errors, obscure the true financial position of each entity, and make audit preparation more difficult than it needs to be.
Endowment Management
Under New York law, endowment spending must follow donor restrictions and a prudent spending policy approved by the organization’s governing body.
JFW supports the accounting side of endowment management by helping organizations:
- Track contributions, investments, and distributions by fund
- Distinguish donor-restricted funds from board-designated reserves
- Record approved appropriations
- Reconcile investment activity
- Prepare board, financial statement, and audit reporting
Investment decisions and legal interpretations remain the responsibility of the board and the organization’s investment and legal advisers.
Donor-Restricted Funds
Donor-restricted funds require the same precision. Every major gift with a restriction attached must be tracked from receipt through expenditure. If a gift restricted for a specific program is spent on something else, even accidentally, the consequences range from donor relationship damage to legal action. JFW Accounting Services structures the accounting so restrictions are enforced at the transaction level, not managed after the fact through spreadsheet review.
For multi-entity operations, JFW manages intercompany transactions, foreign currency translation, and consolidated financial statement preparation across related entities. Cross-entity eliminations are handled systematically, not manually. The consolidated view leadership needs for board reporting and audit is available without a week of manual assembly.
Outsourced CFO services add the strategic layer. Organizations managing endowments, major restricted gifts, and multi-entity structures need financial leadership that can model long-term sustainability, advise on reserve policy, and present a coherent financial picture to board members who may include some of the most financially sophisticated individuals in the country.

Modernizing Back-Office Operations with Sage Intacct and Virtual CFO Advisory
Legacy desktop software and entry-level bookkeeping platforms share a structural limitation: they were not designed for dimensional fund accounting, multi-entity consolidation, or real-time board reporting. As a New York nonprofit grows in program scope, funding complexity, and entity count, these platforms require increasingly intensive manual workarounds to produce accurate financials.
Sage Intacct for nonprofits resolves this at the architecture level. Every transaction is tagged with fund, program, grant, department, and entity dimensions at the point of entry. The benefits for complex NYC organizations are concrete:
- Real-time fund balance reporting for every restricted gift, endowment, and operating account without manual compilation
- Automated multi-entity consolidation with intercompany eliminations handled by the system
- Board dashboards that display Days of Cash on Hand, reserve balances, and budget-to-actual performance in formats designed for governance
- Secure, cloud-based document storage with digital audit trails that satisfy both IRS and NYS Charities Bureau standards
- Elimination of end-of-period spreadsheet assembly for financial statements and grant reports
